Adhyana AI ("Adhyana," "we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our strategic patent intelligence platform and services.

We provide AI-powered patent intelligence services that transform patent data into strategic business insights. This policy applies to information we collect through our website, platform, and all related services.

Important: We do not sell, rent, or share your personal information with third parties for their marketing purposes.

2. Information We Collect

2.1 Information You Provide

  • Account Information: Name, email address, company name, and password
  • Business Information: Company details and patent portfolio information
  • Service Data: Patent searches, queries, and analysis requests
  • Uploaded Assets: Files you attach to Intelligence Package requests (device photos, SEM cross-sections, technical drawings, PDFs). Stored in a dedicated, access-controlled cloud bucket; never used for AI model training; deleted within 7 days of your request, and unsubmitted uploads expire automatically after 7 days.
  • Communication: Support requests and feedback

2.2 Information We Collect Automatically

  • Usage Information: How you interact with our services
  • Device Information: Browser type, operating system, and IP address
  • Analytics: Service performance and feature usage

2.3 Patent and Analysis Data

When you use our services, we process patent data from public patent databases and generate AI-powered analyses. We maintain strict separation between different customers' data and analyses.

3. Legal Basis for Processing

We process your personal information based on the following legal grounds:

  • Contract Performance: To provide the services you've requested
  • Legitimate Interests: To improve our services and ensure security
  • Legal Obligations: To comply with applicable laws and regulations

4. How We Use Your Information

4.1 Service Provision

  • Strategic Intelligence: M&A due diligence, competitive positioning, and market entry analysis
  • Innovation Optimization: R&D focus, portfolio optimization, and white space identification
  • Workflow Support: Organising patent review, portfolio tracking and prior-art work

4.2 Service Improvement

We improve our services using operational data — usage patterns, performance metrics, and feedback. The substance of your patent research (your queries, uploads, analyses, and reports) is never used to train AI models and never leaves your account's isolation for improvement purposes.

4.3 Communication

  • Send service updates and intelligence reports
  • Respond to inquiries and provide customer support

  • Share relevant patent intelligence insights (with your consent)

5. Data Sharing and Disclosure

We do not sell your personal information or patent intelligence data. We only share information when necessary to provide our services, comply with law, or protect rights and safety.

5.1 Service Providers

We share information with trusted service providers who assist us in operating our platform:

  • Cloud Infrastructure: Enterprise cloud providers for hosting and data storage
  • AI Services: Leading AI providers for patent analysis
  • Analytics: Google Analytics for usage insights, subject to your consent
  • Communication: Email service providers for delivery
  • Authentication: Enterprise authentication services
  • Payment Processing: Payment and international transfer providers, where you pay us directly

Each provider is named, with its purpose and location, on our subprocessor list, which we keep current.

5.2 Legal Requirements

We may disclose information when required by law, court order, or legal process, or when we believe disclosure is necessary to protect rights, property, or safety.

5.3 Business Transfers

In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of the business transaction, subject to the same privacy protections.

6. Data Security

We take the security of your data seriously and implement security measures appropriate to our current scale, which we continuously work to improve, including:

  • Industry-standard encryption for data protection
  • Secure authentication and access management
  • Customer data isolation and confidentiality
  • Regular security monitoring and backups
  • Incident response and recovery procedures

7. Data Retention

We retain your information for as long as necessary to provide our services and comply with legal obligations:

  • Active Account Data: Retained while your account is active
  • Intelligence Reports: Retained as necessary to provide services
  • Backups: Retained according to our backup cycles
  • After your access ends: Your content is securely deleted within sixty (60) days, except for backup copies subject to standard retention cycles and information we are required by law to keep — in each case still covered by our confidentiality obligations

You can ask us to return your content instead of deleting it, and you can request an export of your content and the outputs generated for you, in commonly used machine-readable formats. Write to support@adhyana.ai. A charge may apply for an export depending on the volume and formats requested; we will quote it and obtain your approval first. These commitments are set out in full in section 15 of our Terms of Use.

8. Your Rights and Choices

8.1 Access and Control

You have the right to:

  • Access your personal information and patent analyses
  • Correct inaccurate or incomplete information
  • Request deletion of your account and associated data
  • Request an export of your data — individual reports export directly from the platform, and full workspace exports are prepared and delivered by us in standard formats (CSV/JSON)
  • Object to certain processing activities

8.2 Communication Preferences

You can manage your communication preferences in your account settings or by contacting us. Note that we may still send essential service communications.

8.3 Cookie Management

We use essential cookies for platform functionality and analytics cookies for service improvement. You can manage cookie preferences through your browser settings.

9. Cookies and Tracking Technologies

9.1 Types of Cookies We Use

  • Essential Cookies: Required for platform functionality and security (including authentication)
  • Analytics Cookies: Set by Google Analytics to help us understand how you use our services
  • Preference Cookies: Remember your settings and preferences

9.2 Managing Cookies

Google Analytics loads only after you accept it in our cookie banner — declining keeps it off entirely. You can change your choice at any time:

(clears your saved choice and shows the banner again). Most browsers also allow you to control cookies through their settings. Essential cookies (such as authentication) cannot be disabled without breaking the platform.

9.3 Do Not Track

We do not currently respond to Do Not Track signals, but analytics cookies are opt-in via the consent banner, and you can manage your preferences through the control above or your browser settings.

10. International Data Transfers

Our services are currently hosted in the United States. If you access our services from outside the United States, your information will be transferred to and processed in the United States. We ensure appropriate safeguards are in place for international transfers. Alternative data residency options may be available for enterprise customers.

11. Children's Privacy

Our services are not intended for individuals under 18 years of age. We do not knowingly collect personal information from children. If we learn we have collected information from a child, we will delete it promptly.

12. California Privacy Rights

California residents have additional rights under the California Consumer Privacy Act (CCPA), including:

  • Right to know what personal information we collect and how we use it
  • Right to delete personal information (subject to exceptions)
  • Right to opt-out of the sale of personal information (we do not sell personal information)
  • Right to non-discrimination for exercising privacy rights

13. Updates to This Policy

We may update this Privacy Policy to reflect changes in our practices or legal requirements. We will notify you of material changes via email or platform notification. Each published edition carries a version number and an Effective Date at the top, so a specific edition can be identified and referred to. We retain prior versions and will provide any of them on request.
